Work Order Automation and Google user data

Google information the app accesses

Depending on the features the customer enables, Work Order Automation may access the primary Google Account email address; Gmail message content and metadata that match the customer-configured work-order search; the current Google Sheet where the app is installed; and customer-approved Google Drive folders and files used for work-order evidence.

How Gmail data is used

Gmail access is used to identify and process work-order messages, read the subject and body needed to extract work-order information, track message and thread identifiers, determine message state, mark controlled processed messages read, and optionally send or forward completion information when configured. The app does not require or intentionally perform immediate permanent deletion of Gmail messages.

How Sheets and Drive data are used

The app records work-order lifecycle information, settings summaries, review items, and operational events in the Google Sheet where it is installed. Optional photo evidence is stored in a customer-approved, customer-owned Google Drive destination. Work Order Automation does not intentionally make those Drive files public.

Storage and retention

Operational data produced by the app is primarily stored in the customer’s own Google Sheet and Google Drive. Review items may contain message content needed to resolve an ambiguous work order. App configuration and security values may be stored in Apps Script Properties, and limited identifiers may be cached for bounded operational processing. Customers remain responsible for their Google-account retention settings and may delete their own workbook, evidence files, or other customer-owned Google assets when appropriate.

Sharing and human access

Young Enterprises does not sell Google user data, use it for advertising, or share it for unrelated purposes. Google user data is not intentionally sent by Work Order Automation to the Young Enterprises Netlify website or Stripe. Routine operation does not require Young Enterprises personnel to read a customer mailbox. If support requires inspection of specific Google user data, Young Enterprises will seek the customer’s explicit consent and limit access to what is reasonably necessary, except where access is required for security or legal obligations.

Google API Limited Use

The use of information received from Google Workspace APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Security

The product uses customer-controlled Google accounts and assets, least-privilege authorization design, controlled Apps Script configuration, and application-level authorization for optional photo uploads. No system can be guaranteed completely secure. Do not provide passwords, OAuth tokens, private keys, recovery codes, or unnecessary sensitive information to support.

Revoking access and deleting data

Customers can revoke the app’s Google authorization through their Google Account security controls. Revoking authorization stops future authorized access but does not automatically delete records already stored in customer-owned Sheets or Drive. Customers can delete those assets using their normal Google controls. For privacy or deletion questions, contact privacy@young-ent.com.
